How 9er Systems collects, uses, shares, and protects information about you when you use our products, websites, and online services.

1. Introduction
This Privacy Policy explains how 9er Systems LLC (“9er Systems,” “we,” “us,” or “our”) handles personal information collected through our products, the 9er Systems website at 9ersystems.com, the 9er Systems Toolbar application, and any related online services (collectively, the “Services”). It supplements our Terms of Service. If you do not agree with this policy, please do not use the Services.
2. Information We Collect
2.1 Information you provide directly
- Account information. If you create an account using email and password, we collect your email address, password (stored in hashed/derived form by our identity provider, never in plain text), and the name you supply.
- Social-login information. If you sign in through Google, Apple, or Facebook, the provider shares a limited profile with us: your email address, your name (or your name fragments such as given and family name), and a stable identifier the provider uses to recognize your account on subsequent sign-ins. We do not receive your password or any other account credentials from those providers.
- Order and payment information. If you purchase hardware or a software subscription, we collect the information needed to process the order (billing name, shipping address, contact email, order details). Payment card data is handled by our payment processor (currently Stripe) and is never transmitted to or stored on our servers.
- Correspondence. When you contact us via email or our contact form, we receive the contents of your message and your email address.
2.2 Information collected automatically by the Toolbar
The 9er Systems Toolbar application collects fire-and-forget usage telemetry to help us understand how customers use the product and to improve future versions. The telemetry events include:
- A locally generated random identifier (“app UUID”) the Toolbar creates on first launch.
- Your account identifier (only if you are signed in).
- The type of event — for example, the application starting for the first time, the application closing, a slider being adjusted, a toggle being switched on or off, a connected USB device being attached or removed, a window being opened, or a footer link being clicked.
- The value associated with the event — for example, the position of a slider, the new state of a toggle, or the identifier of the device the change applied to.
- The application version, the operating system name and version, and the list of currently connected 9er Systems USB devices.
- The IP address associated with the request (recorded server-side from the network connection).
Telemetry transmission is best-effort: if our servers are unavailable, the Toolbar silently drops events and continues to function. We do not collect microphone audio, the contents of your audio streams, screen recordings, keystrokes, or any other content beyond the usage events listed above.
2.3 Information collected automatically by our websites
Our websites use standard server logs (IP address, user agent, request URL, referring URL, timestamp) for security and operational purposes, and may use Google Analytics or a comparable web analytics service to understand aggregate traffic patterns. We do not use third-party advertising cookies and do not track you across other websites.
3. How We Use Information
We use the information we collect to:
- Provide, operate, and maintain the Services, including authenticating you, processing your purchases, and providing customer support.
- Send you operational and transactional messages (account notifications, security alerts, order confirmations, password resets).
- Send you occasional marketing communications about new products and features. You may opt out of marketing messages at any time using the unsubscribe link they contain or by emailing info@9ersystems.com. Operational messages cannot be opted out of while you maintain an account with us.
- Understand product usage in aggregate, troubleshoot issues, and improve our products.
- Detect, investigate, and prevent fraud, abuse, security incidents, or violations of our Terms of Service.
- Comply with legal obligations and respond to lawful requests.
4. How We Share Information
We do not sell your personal information. We share information only in the following limited circumstances:
- Service providers. We use third-party infrastructure and tooling providers to operate the Services. They process information on our behalf and only as needed to perform their services. Our current providers include:
- Amazon Web Services — hosting, storage, authentication (Cognito), database (Aurora DSQL), and content delivery.
- Google, Apple, and Facebook — identity providers for social login. When you choose to sign in through one of these providers, that provider exchanges a limited profile with us; their own privacy policies govern their handling of your data.
- Stripe — payment processing for subscriptions and other purchases.
- Namecheap Private Email — email delivery for transactional and marketing messages.
- GitHub Pages — static hosting for our marketing website.
- Legal compliance. We may disclose information to comply with applicable law, regulation, legal process, or governmental request, or to protect the rights, property, or safety of 9er Systems, our customers, or others.
- Business transfers. If we are involved in a merger, acquisition, financing, or sale of all or part of our assets, your information may be transferred as part of that transaction. We will notify you of any change in ownership or use of your personal information.
- With your consent. We may share information for other purposes with your explicit consent.
5. Cookies and Similar Technologies
Our websites use only the cookies and storage necessary to operate the site and to power optional web analytics. The Toolbar application does not use web cookies; it stores small amounts of local data on your computer (login state, a refresh token in your operating system’s secure credential store, the locally generated app UUID, and saved per-device sidetone/VOX preferences) so that it remembers your choices across launches.
6. Data Retention
We retain personal information for as long as your account is active and for a reasonable period thereafter to satisfy our legal, accounting, or operational obligations. Telemetry events are typically retained for analytics purposes for up to 24 months and then aggregated or deleted. You may request deletion of your personal data at any time through the process described in our Data Deletion Request page; we will complete deletion within 30 days, subject to limited retention of audit and transactional records where required by law.
7. Security
We use commercially reasonable administrative, technical, and physical safeguards to protect personal information against loss, theft, and unauthorized access. Examples include encryption of data in transit (TLS) and at rest, federated authentication, principle-of-least-privilege access controls, and audit logging. No method of transmission or storage is perfectly secure, however, and we cannot guarantee absolute security.
8. Your Choices and Rights
Depending on where you live, you may have the following rights with respect to your personal information:
- Access. Request a copy of the personal data we hold about you.
- Correction. Ask us to correct inaccurate or incomplete information.
- Deletion. Request deletion of your personal data — see our Data Deletion Request page.
- Marketing opt-out. Unsubscribe from marketing emails at any time using the link in those messages, or by emailing info@9ersystems.com.
- Portability. Request a copy of your data in a portable, machine-readable format.
- Revoking third-party access. If you signed in through Google, Apple, or Facebook, you can revoke our app’s access in your account settings on that provider. Revoking access stops further sign-ins but does not delete data already collected; use the Data Deletion Request page for that.

9. Children
Our Services are not directed to children under the age of 13, and we do not knowingly collect personal information from children under 13. If you believe a child has provided us with personal information, please contact info@9ersystems.com and we will take appropriate steps to delete it.
10. International Users
9er Systems is based in the United States, and the Services and their supporting infrastructure are operated in the United States. If you use the Services from outside the United States, you understand and consent to the transfer of your information to the United States, which may have different data-protection rules than your country of residence.
11. Changes to This Policy
We may update this Privacy Policy from time to time. The “Last updated” date at the top of this page reflects the most recent change. For material changes, we will provide additional notice (such as by email or an in-product notification) before the change takes effect. Your continued use of the Services after a change becomes effective constitutes your acceptance of the revised policy.
